The California Association of Nonprofits (CalNonprofits) is the voice for California's nonprofit community.

We are a statewide policy alliance of more than 10,000 organizations, representing and promoting California's growing nonprofit sector. We sponsor the annual California Nonprofits Day in Sacramento and commissioned the landmark study: “Causes Count: The Economic Power of California's Nonprofit Sector.” Other work we engage in to nurture the nonprofit environment in California includes the Nonprofit Student Debt Project, Nonprofit Overhead Project, Vote with Your Mission, and we're one of three partners who launched Grant Advisor. CalNonprofits Insurance Services is our social enterprise that assists more than 1,000 nonprofits with insurance every year.

ADMINISTRATIVE ASSISTANT

Ideal start date: As soon as possible
Reports to: Executive Assistant & Administrative Coordinator
Schedule: 25-30 hours per week to start (additional hours during events)
Work schedule: Part Time (Fexible Hours-between 9am-5pm, in the office at least 3 days per week)
Location: San Francisco, CA (Steps away from Powell Street BART)
Pay: Hourly pay between $17 and $20 based on experience and qualifications
Benefits: Health, dental, and vision insurance pro-rated based on hours (e.g. at 25 hours/week, 60% benefits paid by CalNonprofits)
The California Association of Nonprofits (CalNonprofits) seeks a smart, reliable and efficient individual to serve as our Administrative Assistant. A successful Assistant will think creatively, pro-actively solve problems, and reliably get routine tasks done accurately and on time.

Job Description
The Administrative Assistant will support all of the activities of the organization with a focus on office administration and program support. The person in this position will play an important supporting role in the smooth operation of a busy nonprofit with member organizations throughout California and a staff of 8 spread across 4 locations.

Examples of Duties
Program Support & Office Assistance
• Mail monthly membership invoices and weekly member packets
• Maintain and update membership database
• Record incoming checks; processes credit card transactions
• Assist with CalNonprofits events (June and October)
• Provides administrative and project support to other team members
• Assist with other tasks as assigned which may include data entry, filing, copying, bulk mailing, excel spreadsheet preparation, ordering printed materials, running errands
• Organize and maintain inventory including collateral materials and office supplies
• Organize the San Francisco office, keep things neat and safe
• Open/distribute mail & deliveries
• Answer inquires via email and phone
• Assist or set up technology for webinars and staff meetings

Required Skills & Experience
• Intermediate MS Office proficiency
• Advanced internet research skills
• Comfortable communicating professionally and effectively in English (via telephone and writing, online and in social media)
• Experience with writing business English including spelling and grammar
• Demonstrated ability to work independently and respond to feedback, with a high degree of accountability
• 1-2 years’ experience in professional office environment (preferably nonprofit)

Preferred Attributes
• Appreciation for community nonprofits, and some familiarity with the nonprofit sector (as volunteer, employee, board member, client, constituent, etc.)
• Enjoy problem solving and thinking creatively
• Demonstrated ability to work on a team with people of diverse backgrounds and viewpoints
• Emotional intelligence to offer superior customer service to our members and community
• Meticulous attention to detail and follow-through skills
• Comfortable with small staff “everyone pitches in where needed” culture
• Maintain high professional ethical standards

Extras
• Non-English language proficiency
• Familiarity with Mac and other Apple products
• Experience with cloud-based computing
• Experience with databases or CRM
• Not required, but useful to have a valid California Driver’s License, satisfactory driving record. If you possess a vehicle, show proof of valid insurance.

Working Conditions
CalNonprofits is an ever-changing and fun place to work! Our office atmosphere is relaxed and flexible, and we laugh a lot, but we get things done.

Work involves potential pressures generated by volume of work, frequent interruptions, seasonal work periods, and occasional irregular hours to meet deadlines and achieve objectives. This position requires communication in English verbally, in person, by phone, by email, and in meeting/presentation settings.

Physical Demands
Work will include speaking, listening, seeing, extended periods of computer operation, possibly sitting for long periods. Work may include lifting up to 25lbs (with accommodation as necessary), bending, and stretching.
